Choosing Between VoIP and PBX

When it comes to communicating with the rest of the world, businesses have a lot of more options than they used to. Video conferencing, IM, and email all serve as supplements to the traditional telephone line. One of the bigger decisions faced by a business is whether or not to use a private branch exchange (or PBX) or a voice over internet protocol system (or VoIP).

VoIP offers a host of advantages for businesses that want to account for both growth and cost-savings.


The most glaring advantage VoIP has over a traditional PBX is cost. With a PBX, businesses pay monthly rates depending on how many calls have been made domestically. Typically, international calls are priced at a higher rate as well, which leads to not-so-insignificant charges for businesses that do work abroad.

With a VoIP service the cost for international calls is much less. Businesses do not have to purchase an expensive PBX system as well when they wish to expand. The limits to how many concurrent phones can run is determined only by your internet connection speed.


As mentioned before, traditional PBX falls behind in another area: expandability. With a traditional PBX, typically the number of usable lines is determined beforehand upon purchase. Expanding the number of lines currently available requires much more capital and can take quite a while.

With VoIP, the only two limits to how many lines can be added is how much you’re willing to spend and your internet connect speed. If your business runs on a fiber connection, then there is very little chance of you running on the upper limits of your connection speed. Technically, this means hundreds and hundreds of phones could be setup without degradation of service. Also, provisioning a new telephone for a new employee is a very simple process and one which doesn’t require as much time.


One area where a traditional PBX comes out on top is reliability. Traditional systems get their power from the telephone wire itself, so generally speaking these phones almost always work. The uptime for traditional PBX telephony is 100% unless something absolutely catastrophic were to happen. For that reason, many businesses still keep a few PBX phone lines as a security measure.

With VoIP phones, both the quality of your call and the uptime of your phone system is dependent upon your Internet connection. A power outage or an internet failure could leave your business without any phones, technically speaking. If your ISP maintains their SLA, this will not be a problem that occurs more than about eight hours out of an entire year.

It is also important to have a robust internet connection because of call quality. A strong internet connection allows for HD voice, which is a substantial improvement over traditional telephone systems.

The MSP Consortium, billed as a an association “built for MSPs by MSPs,” has been making waves in the press since its formal introduction to the public on April 21. The group, which formed under the guidance of Ciracom and Comodo (among others), has shaken up the industry standard by releasing their own remote management and monitoring (RMM) platform.

In an article by Lynn Haber of, one of the more compelling arguments made in favor of joining the Consortium is the fact that their RMM tool itself is free. Haber continues:

A free RMM software just might be a big draw for MSPs, some of whom complain that existing MSP business tools are too expensive, too complicated and often don’t meet the needs of MSPs.

MSP Consortium President of the Board Amy Rutt provided one of the better quotes from the article which further speaks to that point:

“The [industry] all-stars — N-able, Autotask and Connectwise — are difficult to work with, they’re expensive and these vendors only innovate based on what they think MSPs need. They’re a mind-numbing waste of time.”

MSPs spend boatloads of money on licensing fees employing productivity and management software. Those funds saved by migrating onto a tool that was created specifically for MSPs could in turn be reallocated to bigger money drivers: sales and marketing. Oddly enough, because it was built with input from MSPs, it could also increase productivity.

The “cloud tsunami” is changing everything

Our friends over at elaborates on just how much the cloud is changing the way MSPs do day-to-day business. Reporter Edward Gately surmised that “the rapidly growing “cloud tsunami” is forcing the MSP industry to completely transform itself, embracing consumption economics, and focusing on sales, marketing and training.”

Board President Rutt does a great job summing up the transition Ciracom, and many MSPs, are going to be forced to make should they wish to stay afloat in a changing economic landscape:

“The cloud has completely changed everything for us,” she said. “I’ve evolved my business to be more of a cloud services brokerage model. This is coming from a place of really wanting my competitor, my MSP brethren, to do really well, to have so much success.”

Having worked with Amy quite a bit now, it’s evident that cloud technology is ushering in a paradigm shift of sorts.

“With the advent of cloud, there’s more of an “interdependency than there used to be,” similar to the relationship between auto manufacturers and dealerships, she said. The consortium will provide that collaboration for MSPs,” she said.
